Evening Rental Prices (5 – 11 pm)

ichthyosaur
The Burke Room features a 125 million year old ichthyosaur fossil skeleton.

Rental Policies

Reservations

  • A 50% deposit (payable with a check, credit card, or UW budget number) and a Rental Agreement signed by both parties are required to hold any date. Final payment is due one week prior to event. UW budget numbers are charged the full amount the next business day following the event.
  • Request for Use of University Facilities (RUUF) form and UW Banquet permit (if applicable) must be completed and submitted online at the time of submitting the rental agreement to reserve the space.

Cancellations and Refunds

  • If the client cancels three weeks or less before the event, the client will forfeit the deposit.
  • The Burke Museum retains the right to cancel the event and fully refund the deposit.
  • All refund checks will be sent to the client within 30 days of cancellation.

Restrictions

  • Living Plants or fresh flowers for short-term public events must be delivered and removed the same day from the museum and must come from a florist. No flowers from home gardens are allowed.
  • No candles or smoking.
  • No client, guest, or caterer may move equipment, exhibits, cases, or other property belonging to the Burke Museum.
  • Exhibit display cases are not to hold any event-related materials.
  • Live animals are not allowed inside the museum building (service dogs accepted).
  • No taping or tacking of decorations or materials to walls, pillars, windows, woodwork or exhibits.
  • No helium balloons, glitter, confetti, rice, birdseed, flower petals, etc. Bubbles must be used outside.

Parking

  • Parking is available on the south side of the Burke Museum, though it is recommended that the client call University Parking Services at (206) 685-1543 to check the availability of on-campus parking on the day of the event.
  • UW parking rates may apply.

Food and Beverage

  • No food or beverage is allowed in the permanent or special exhibit galleries.
  • Catering arrangements must be approved by the Burke Museum's rental coordinator
  • The caterer or client is responsible for cleanup and removal of all food, equipment, and garbage from the Burke Museum on the day of the event. Garbage and recycling receptacles are located on the west side of the building.
  • If alcohol is to be served, the client must first apply for a UW Banquet permit at the time of submitting rental application. The client must also obtain a Washington State Banquet (Liquor) Permit. A copy of the Liquor Permit must be provided to Event Lead upon arrival on day of the event.
  • The Museum reserves the right to discontinue the service of alcoholic beverages at any time during the event.

Setup and Cleanup

  • Items cannot be delivered to the Burke Museum before the scheduled reservation time nor can items be left overnight.
  • The placement of all tables and chairs must be left in the manner in which they were found.
  • Setup and cleanup time must be included in the overall rental time.
  • Burke staffing is provided for set up and breakdown of museum equipment.
  • Staffing is not provided for setup and cleanup of rental and catering equipment.

Equipment and Security

The Burke Museum has the following equipment available for the client's use:

  • PA system for the Burke Room, Lobby, and Special Exhibit Gallery
  • Screen and LCD projector in Burke Room
  • VCR/DVD Player
  • Chairs: 80
  • Tables: six 6-foot, six 5-foot rectangular, 3 square card tables
  • Pipe and Drape

  • The Burke Museum cannot guarantee availability of equipment if arrangements for use are not made in advance.
  • Burke Museum staff will be scheduled to provide security for the facility and to provide information about the facility during your event. Staff for the event has the right to remove disruptive guests, call law enforcement, and/or terminate the event if security of facility/staff/guests appears to be at risk.
  • The individual listed by the client as the Responsible Party on the Rental Agreement will stay until the end of the event.
